  • Centrally hosted web based application - allows for multi-user Anywhere Anytime-access to manage unit activity, produce statements, etc
  • Login page - unit owners can access their statements online or book their own units online using our RoomKey eRes online booking engine
  • Unit Identification - uniquely identify units within the system using various codes by area, property or unit number
  • Start and stop dates - maintain ownership records for correct revenue and expense posting when units are sold during the month
  • Owner Records - maintains owner name and addresses for easy printing of address labels, monthly statements and owner disbursement cheques
  • Unit status - units may be open or closed from the revenue pool for the month or dates of ownership if timeshared
  • Unit allocation factors - pool revenues or expenses on the basis of a pre-defined criteria
  • Week Numbers - For limited time-share applications, recalculate start and stop date at the beginning of each year
  • Owners Dues - A periodic amount for recurring dues can be used in conjunction with the accounts receivable module (recurring accounts) for separate billing of owner dues or other recurring amounts
  • Master units - used in conjunction with the accounts receivable module to create a consolidated statement for owners with multiple units
  • Remarks - enter up to four lines of remarks for each unit master record
  • Property Variables - supports an unlimited number of properties within each area, dividing properties into groups for management and reporting purposes and when managing geographically dispersed locations.
  • Property Master File - used to establish the basic information about each property including the number of units registered and whether revenue and expenses are pooled or based simply on occupancy.
  • Units Registered - total number of units for each property, including open and closed units.
  • Pooled Revenue - Revenue pooling is available by unit
  • Shared revenue - multi-owners can share revenue based on the percentage of unit ownership
  • Lock off revenues - break-down revenues based on whole units and/or partial units
  • Wholesaler field - automatically calculates deductions from gross unit revenue for reservations being made through a wholesaler. The deduction can be a percentage of gross room revenue of a fixed amount per reservation.
  • Revenue Posting - revenue automatically transfers at month end when used in conjunction with RoomKey PMS. Revenue can also be posted through a manual revenue posting utility if RoomKey-HOA is being run as a stand-alone system.
